Event equipment must arrive at a specific place and time, often through venue loading rules that leave little room for delay. The return journey matters just as much: equipment may need recovering, checking and returning to storage after the event.

Build windows, loading bays, passes, contact names and equipment dimensions should be known before collection. The route is only useful if the vehicle can reach the venue and unload within its rules.

Real case study

Urgent event equipment delivery to Exeter

Problem

Gustaf Creative Ltd contacted Hampson & Mealey late on a Friday. Six-metre poles were required in Exeter by 9am on Monday for an event and marquee or teepee installation.

The length of the equipment, short lead time and need for weather protection meant that a routine van or exposed flatbed movement was not the right answer.

Solution

The poles fitted within an enclosed six-metre trailer. This provided better protection than flatbed transport, reduced the risk of rust or weather damage and was more economical than using a truck.

Collection took place on Sunday morning. A return backload was also sourced so the transport remained commercially viable while maintaining competitive customer pricing.

The selected trailer solved both the unusual length requirement and the need for enclosure. Sourcing a return load addressed the economics of the journey without changing the promised Monday delivery time.

Outcome

Delivery was completed in Exeter by 9am on Monday as agreed. The customer was very happy with the service.

The job is a genuine example of rapid response, practical equipment selection and commercial planning working together to solve an urgent event-logistics requirement.
